Cancellation and Refund Policy
At Camp Kwasind, we recognize that plans can change. While each camp week requires a non-refundable $100 deposit to secure your child’s spot, we strive to offer fair and transparent refund options for families facing changes.
We are already looking forward to what promises to be a SPECTACULAR Summer 2026 at Kwasind!
Standard Cancellation & Refund Deadlines
Before May 1, 2026
You will receive a full refund of all camp and transportation fees paid, excluding the $100 non-refundable deposit.
May 1, 2026 – 14 days before your camp session
You will receive a refund of camp and transportation fees (if applicable), minus the $100 deposit and a $25/week administrative fee.
Less than 14 days before your camp session
No refund will be issued for cancellations within two weeks of your scheduled start date, including both camp and transportation fees.
Exception: If cancellation is due to a medical reason and accompanied by a doctor’s note, a refund will be provided minus a $25/week administrative fee.
Medical Cancellations
If your child cannot attend or must leave early due to medical reasons confirmed by a physician:
- You will receive a full refund, including the $100 deposit, for the unused portion of camp.
- A $25/week administrative fee will apply.
- A doctor’s note is required to process this refund.
Other Refund Conditions
- No refunds will be issued for:
- Dismissal due to disciplinary reasons
- Voluntary early departures
- Late arrivals
- No-shows
Refund Exception Policy
We understand that unexpected life events can occur. While our standard policy applies in most cases, we do consider exceptional, non-medical circumstances on a case-by-case basis.
Eligible Exceptional Circumstances May Include:
- Family Emergency (e.g., serious illness or death in the immediate family)
- Unexpected Relocation (e.g., moving out of province or country)
- Natural Disasters or Extreme Weather that prevent attendance
- Government Travel or Health Restrictions (e.g., border closures, quarantine)
- Camp-Initiated Cancellations (e.g., low enrollment, operational issues)
- Duplicate or Mistaken Registrations
- International Travel Issues (e.g., denied visa or flight cancellation)
To Request an Exception:
- Email your request to the Office Manager at register@kwasind.com
- Include relevant documentation (e.g., medical letter, travel documents, government notice)
- Requests are reviewed on a case-by-case basis
- Approved refunds may be issued minus a $25/week administrative fee, unless otherwise stated
